A business camera and network system should be planned around the site, operational purpose, and people responsible for it. Selecting cameras before defining coverage, retention, connectivity, access, and maintenance can create blind spots or an unreliable recording system.

This guide focuses on practical UniFi Protect planning for offices, shops, restaurants, warehouses, and other small-business environments. Define the operational purpose

Write down what the organization needs to observe and why. Entry awareness, after-hours review, delivery verification, general site visibility, and incident documentation can imply different camera positions and retention needs. Avoid vague goals such as cover everything.

Identify who may view live video, who may retrieve recordings, how requests are approved, and how exported footage is handled. A technically capable system without an access policy creates unnecessary risk.

List areas that should not be recorded and activities that require additional legal review. Audio recording and employee monitoring can raise different obligations from exterior video. System design should follow the approved policy.

Survey the physical environment

A site survey should consider entrances, exits, circulation paths, service counters, loading areas, exterior approaches, lighting changes, mounting surfaces, weather exposure, cable routes, network closets, and available power. The desired field of view and identification distance matter more than a decorative floor-plan icon.

Test difficult lighting conditions. Backlit doors, headlights, reflective surfaces, deep shadows, and nighttime scenes can change usable detail. A wide view may establish context while a narrower view is needed for identification; one camera rarely does both equally well.

Plan mounting height and service access. A camera should resist casual tampering without becoming impossible to clean, adjust, or replace safely. Coordinate penetrations and exterior sealing with appropriate trades and building rules.

Treat the network as part of the camera system

Wired Power over Ethernet connections are often useful because one cable can provide network connectivity and power to a compatible camera. The switch must still have enough ports, total PoE budget, uplink capacity, and appropriate environmental rating for its location.

Separate camera traffic logically where the network design and operating needs warrant it. Protect management interfaces, use strong account security, keep devices updated, and limit remote access to authorized users. Segmentation is not a substitute for maintenance and permissions.

Plan the console and camera capacity

The recording console must support the proposed camera mix and how the system will be used. Resolution is only one variable. Active users, live viewing, playback patterns, and storage health can affect the experience.

Ubiquiti publishes supported camera capacity guidance and its consoles estimate recommended capacity. Consult current model documentation during design because product capabilities and recommendations can change.

Leave reasonable headroom for performance and future additions that are actually foreseeable. Oversizing every small system is wasteful, but designing at the edge of capacity can make the first expansion an avoidable replacement project.

Calculate storage from a retention requirement

Begin with the number of days the business is approved to retain footage and the event types it needs to review. Camera count, resolution, frame rate, image complexity, compression, recording mode, and activity all influence storage use. A generic hours-per-terabyte claim is not a reliable design method.

Choose supported storage for the selected console and use health monitoring. Decide what happens when the retention window rolls over, when a disk reports a problem, and when important footage must be preserved outside the normal cycle.

Longer retention is not automatically better. It increases storage requirements and may increase privacy or governance risk. Align the period with a documented business and legal need.

Design permissions and recovery before launch

Create individual user accounts rather than sharing one administrator login. Grant the least access each role needs and review access when employees or vendors change. Use available multi-factor authentication and preserve recovery ownership within the business.

Document the console, switch, camera names, cable labels, network configuration, storage, warranty information, and administrative owners. Store recovery information securely. A system that only the installer can administer leaves the business exposed.

Decide how footage exports are authorized, named, stored, transferred, and deleted. Test the retrieval process before an urgent request occurs. The operator should understand time zones, camera clocks, and the difference between an exported clip and the continuing recording history.

Install and commission the complete system

Commissioning should verify more than whether every camera appears online. Confirm framing in day and night conditions, focus, motion behavior, recording continuity, playback, retention estimates, user permissions, alerts, remote access, network load, and power-loss recovery.

Use a naming convention that helps an operator find the right view quickly. Labels such as north loading door are more useful than camera 07. Provide a current coverage plan and note any accepted limitations or privacy masks.

Coordinate installation timing with business operations. Ladders, cable access, ceiling work, network changes, and temporary outages can affect staff and customers. A deployment plan should identify who approves final camera views.

Maintain the system as business infrastructure

Schedule checks for camera cleanliness, changed views, vegetation, new shelving, lighting, cable damage, storage health, software updates, account access, recording continuity, and notification delivery. Physical changes can defeat a once-correct plan without producing an obvious error.

Review the design when the business changes layout, adds entrances, changes hours, installs new network equipment, or expands staff access. Keep documentation synchronized with the deployed system.

Plan power, internet, and failure behavior

A camera system depends on more than the cameras and recorder. Determine how switches, consoles, storage, internet equipment, and critical network paths respond to a power interruption. A properly sized uninterruptible power supply may support orderly shutdown or short continuity, but runtime expectations must be calculated from the actual load and maintained batteries.

Local recording can continue during some internet outages when the local network and equipment remain operational, but remote viewing and cloud-dependent notifications may not. Confirm behavior for the selected equipment and configuration, then explain those limits to operators before deployment.

Document restart order and test recovery after a controlled interruption. Verify that cameras reconnect, recording resumes, system time remains correct, storage is healthy, and notifications return. A green status before the outage does not prove resilient recovery.

For sites where continuity has a high business or safety impact, involve qualified electrical, network, security, insurance, and legal professionals as appropriate. A practical technology deployment should state its boundaries and coordinate with the disciplines that own adjacent risks.

Consider environmental and physical risks as well. Network and recording equipment needs appropriate ventilation, operating temperature, surge protection, mounting, and controlled access. A recorder placed wherever there is spare shelf space may become the least reliable part of an otherwise careful installation.
